Which one, when
On a typical job they turn up in this order. You won't need all six every time: a small job might be a quote, an invoice and a receipt.

Quote: Price the job and get it accepted in writing.

Work order: Tell whoever does the job what to do and how to get in, and log the hours and materials.

Variation: Scope changed on site? Put the extra work, cost and time in writing and get it approved first.

Service report: Record what you found, did and tested, and get the customer's acknowledgement.

Invoice: Bill for the deposit, a progress payment or the final amount.

Receipt: Confirm the money arrived, and show any balance still owing.
What you're downloading
- A4 PDFs with fixed layouts. Print them and fill them in by hand, or copy the layout into your own.
- The quote, variation and service report end with a customer approval block made of PDF form fields: a tick box, name, typed signature and date that can be filled in on screen.
- The quote and invoice also come as Excel files with formulas that add the lines and the GST.
- The invoice PDF is headed INVOICE, not tax invoice. What a tax invoice must show is set by the ATO, and each template page links the official source where one applies.
