What a work order should include
- Work order number and job date
- Numbered in order, so the hours and materials can be matched to the right invoice.
- Customer and site address
- Where the job is and who to contact. The site isn't always the billing address.
- Priority and who's going
- Standard, high or urgent, and the team member doing the job.
- Job type
- Installation, maintenance, fault finding or emergency: the four tick boxes on this template.
- The requested work
- What the customer asked for, in plain words. If it was quoted, copy the quoted scope, not a summary of it.
- Access notes
- Keys, gate or lockbox codes, parking, pets and who'll be home.
- Labour log
- Start and finish times, travel time and total hours, written down on the day.
- Materials required or used
- Quantity, description, supplier or product code, and notes, so nothing gets left off the invoice.

Common questions
What's the difference between a work order and a job sheet?
The names overlap. Here, the work order is the instruction for the job, with room to log hours and materials. The record of what happened on the visit, with test results and the customer's sign-off, is the service report, also called a job sheet.
Does a work order show prices?
Not this one. Materials are listed by quantity, description and supplier code, with no prices, so it can go to whoever is doing the job. Prices belong on the quote and the invoice.
Does the customer sign a work order?
This template has no signature box. If you want the customer to sign off the finished job, use the service report, which ends with a customer acknowledgement.
Is there an Excel or Word version?
No, the work order is a PDF. Print it and fill it in by hand, or use it as a checklist for your own form.
