Free quote template for Australian tradies
A quote template with everything that stops arguments later: a clear scope, itemised lines, GST, a validity date, deposit terms and an acceptance box. The PDF is the quote SmokoBooks produces, with placeholder details. The Excel version totals the lines and adds GST.
What a quote must include
- Your details
- Business name, ABN, phone, email, and your licence number where your trade requires one.
- Customer and site address
- The site is not always the postal address.
- Scope of works
- Two or three plain sentences: what you will do, where, to what standard.
- Itemised lines
- Materials with quantities, labour as hours or a fixed amount, call-out if charged.
- Exclusions
- Patching, painting, permits, anything you found on the day. If it is not in, say so.
- GST and total
- Show the GST and the total including GST.
- Valid until
- Usually 30 days, so a materials price rise later is not your problem.
- Deposit and payment terms
- For example 30 percent on acceptance, balance on completion, due within 7 days.
- Acceptance
- A signature or typed name and date. That is what turns a quote into a contract.
Four habits that get it paid
- Quote from a price list so your rates are consistent job to job.
- Send it the same day. Acceptance rates fall the longer they wait.
- Follow up once, three or four days later.
- When they accept, the invoice should match the quote line for line.

Common questions
What is the difference between a quote and an estimate?+
A quote is a fixed price for a defined scope. An estimate is a best guess and can change. Customers hear quote and expect fixed, so if you are not sure of the scope, call it an estimate or do a site visit first.
Should a quote include GST?+
If you are GST registered, yes: show the GST and the total including GST. If you are not registered, show the total with no GST.
How long should a quote be valid?+
Thirty days is common. Shorter if your material costs move quickly.
